Privacy Policy

This Privacy Policy explains how GeeWhiz Studio collects, uses, discloses, retains, and protects personal data through its website, booking pages, communications, and services. It should be read with the Terms of Service.
1. Information we collect
Depending on how you interact with GeeWhiz, we may collect:
- Contact and business information, including your name, email address, company, role, website, company size, and business needs.
- Booking and service information, including appointment details, questionnaire answers, correspondence, notes, proposals, project records, deliverables, and payment status. GeeWhiz does not intentionally store complete payment card numbers.
- Recordings, transcripts, summaries, and action items when participants have provided the required affirmative consent.
- Testimonials and files you choose to upload, together with your publication permission.
- Public business information used to prepare requested research or recommendations.
- Technical and security information, such as device and browser details, network address, request logs, authentication data, and fraud prevention signals collected by GeeWhiz or its infrastructure providers.
- Limited first-party website analytics, including anonymous session and page-view counts, page paths, accessed GeeWhiz domain, general device class, referring website hostname, approved campaign tags, approximate country, region, and city supplied by our hosting provider, and completed website actions. GeeWhiz does not place names, email addresses, IP addresses, precise coordinates, form contents, full referring URLs, or private URL parameters in this analytics record.
- Marketing email delivery and engagement information, such as whether a message was delivered, opened, clicked, bounced, reported as spam, or unsubscribed. Open information may be affected by email privacy protections or image settings and is used as a directional operational measure.
2. How we use information
We use personal data to respond to requests, schedule and deliver services, maintain client and prospect records, prepare research and recommendations, communicate about an engagement, process payments, provide support, protect the website, prevent misuse, improve operations, comply with law, and enforce agreements. Marketing messages are sent only when permitted, and you may unsubscribe from them at any time.
3. Artificial intelligence processing
GeeWhiz may send relevant public business information, client supplied information, meeting transcripts, or project materials to artificial intelligence providers to support research, summarization, analysis, drafting, and delivery. We limit the information sent to what is reasonably needed for the task and use business accounts and access controls where available. AI output is treated as working material and may be reviewed by an authorized GeeWhiz team member.
4. When information is disclosed
We may disclose information to service providers that support hosting, databases, file storage, scheduling, calendar and meeting tools, transcription, email, security, payment processing, artificial intelligence, and professional advice. Current service categories may include Vercel, Neon, Cal.com, Google Workspace, Resend, Cloudflare, OpenAI, and payment providers connected through the booking process.
We may also disclose information when required by law, to protect rights or safety, to investigate misuse, with your direction, or as part of a merger, financing, acquisition, or sale of business assets subject to appropriate protections.
5. No sale or targeted advertising
GeeWhiz does not sell personal data. We do not process personal data for targeted advertising or for profiling that produces legal or similarly significant decisions about a person.
6. Cookies and similar technology
The website and its service providers may use cookies or similar storage that are necessary for security, authentication, booking, form protection, and basic site operation. GeeWhiz also uses browser session storage to assign a random anonymous identifier while a visitor moves through the public website. This identifier expires with the browser tab or session and helps GeeWhiz count visits and understand whether a website action was completed.
GeeWhiz does not currently use advertising cookies, cross-site tracking, browser fingerprinting, or session replay. If that practice changes, this Policy and any required controls will be updated before the new use begins.
7. Retention and deletion
Recordings and verbatim transcripts are retained for no more than 90 days after the conclusion of an engagement, unless a longer period is reasonably needed for an active client matter, required by law, or agreed in writing. They are then deleted from GeeWhiz controlled systems.
Deleting a source recording or transcript does not require deletion of summaries, analyses, proposals, deliverables, configurations, or other derivative work product. Those materials may be retained for service, business, recordkeeping, and legal purposes. We retain personal data in them only as reasonably necessary and may retain deidentified or generalized methods and learnings that do not identify a client or individual.
Other records are kept only as long as reasonably needed for the purposes described in this Policy, including client service, security, tax, accounting, dispute, and legal requirements. Data in protected backups may remain until the backup is overwritten or expires.
Anonymous first-party website analytics events are retained for no more than 13 months and are then deleted through an automated retention process.
8. Your choices and privacy rights
You may ask whether GeeWhiz processes your personal data and request access, correction, deletion, or a portable copy. You may also withdraw optional marketing consent or appeal a decision about a privacy request. These rights may be limited by identity verification, applicable law, another person's rights, or legitimate recordkeeping needs.
Send requests to roger@geewhizstudio.com. Use the subject “Privacy Request” or “Privacy Appeal” and describe the request. GeeWhiz will respond within the period required by applicable law and will not discriminate against you for exercising a privacy right.
9. Security
GeeWhiz uses reasonable administrative, technical, and organizational safeguards designed for the nature of the information it handles. No internet transmission or storage system can be guaranteed completely secure. Please do not send passwords, complete payment card data, government identifiers, medical records, or similarly sensitive information unless GeeWhiz has expressly approved a secure method.
10. Children
The website and services are intended for businesses and adults. GeeWhiz does not knowingly collect personal data from children under 13. If you believe a child has provided personal data, contact us so it can be reviewed and deleted as appropriate.
11. Changes to this Policy
GeeWhiz may update this Policy as services, providers, or legal requirements change. The effective date above identifies the current version. Material changes will be communicated through the website or another reasonable method when required.
